DETAILED HUMAN RESOURCES INFORMATION

I. Hiring new employees

To initiate the hiring process for a new or vacant position, fill out the JISAO Hiring Request or Temp Hire Request form. For Research Scientist positions, please read the information at http://www.washington.edu/admin/hr/ocpsp/prostaff/researchsciengr/index.html In addition to the JISAO Hiring Request form, write a job description and complete a ‘Research Scientist questionnaire.’ If you are unsure about the type of position you need, contact Mary Smith at 206-543-5216 who can discuss the options with you. Once you fill out the appropriate documents and obtain the required signatures, send the information to Mary via email at mchsmith@u.washington.edu and put the signed originals in the campus mail to her. She will then work with UW Human Resources to post the position on the UHIRES website and will lead you through the rest of the process.

Since JISAO has mostly Research Scientists on staff, the following information relates directly to that series. If you have another type of position and need salary increase information call or email Mary Smith at 206-543-5216 - mchsmith@u.washington.edu or see the web link below under ‘D.’.

II. Salary increases and promotions -- professional staff

The first step in requesting a salary increase for an employee is to determine which type of increase is appropriate. There are several types of increases for professional staff:

A. The annual university-wide merit increase – an annual increase controlled by the University of Washington which usually occurs in early fall and usually involves a small pool of funds averaging 2-3%/person. The process is administered by the UW upper administration, and information is distributed to supervisors each year in late spring or early summer. The increases usually occur around September 1st. During this process, performance reviews and updated job descriptions should be completed for all employees.

C. A full position review (or promotion) – if the employee is performing higher- level duties and needs to be given a new title and salary grade, see http://www.washington.edu/admin/hr/ocpsp/prostaff/researchsciengr/index.html.

IV. Job Descriptions

Employee job descriptions should be updated annually during the performance review process. The employee should update the description with the review and input of the supervisor(s). In the case of JISAO/PMEL employees, both the UW supervisor and the PMEL advisor should have input and approve the description. Examples of typical descriptions are available from Mary Smith. The employee and supervisor(s) should keep current copies and a copy should be sent to Mary with the annual performance review form.

V. Performance reviews

Both the employee and the supervisor(s) participate in the annual performance review process each spring. The process begins with the employee’s completion of the JISAO Self-evaluation form, which will be a review of the past year’s performance. That information can then be incorporated into the JISAO Performance Evaluation form completed by the supervisor(s). These evaluations and an updated job description for each employee are sent to Mary Smith by the deadline indicated in her communication to all personnel on the process.
